My easiest AI step was turning on Gemini notes

I used to write my meeting notes myself. Turning on Gemini took one click, cost nothing extra, and let Claude take over an hour of weekly typing.

Every week I meet with my admin on Google Meet, for about 30 minutes. I used to write the notes myself. After each meeting, I spent about an hour writing everything down. What we decided, who does what, which posts go out when.

My easiest AI step cost nothing extra. Gemini was already in my Google Workspace. I just turned it on.

What I use

  • Google Meet with Gemini notes. I’m on Google Workspace Business Standard, around US$14 per user a month.
  • No new plan, no setting to change. I activated it, and that was it.

I turned it on the day I gave Claude access to my Google Drive.

What Gemini gives me

When the meeting ends, Gemini saves a Google Doc in my Drive with a summary, the details and a full transcript. The doc is attached to the meeting in my Google Calendar, so it’s always easy to find.

My admin didn’t mind Gemini taking notes. Nothing we discuss is really sensitive. If you record or transcribe someone, tell them first.

I now use it for my coaching calls too.

What changed after

Once the notes existed, Claude could read them. Now Claude turns our content plan into cards in Notion, and the follow-ups into tasks the next day. I check both in a few seconds. That hour of writing is gone.

I don’t even read the notes myself anymore. Only Claude does.

What failed

  • Some words come out wrong. We switch between French and English in our meetings, and Gemini handles it well. Specific words, like hike names, get misspelled. We can still figure out what they are.
  • Notes are only as clear as the call. If we’re vague, the notes are vague, and Claude has nothing useful to work with.
  • Forgetting to turn it on. No notes, nothing for Claude to read. Now Claude reminds me when it finds a meeting with no notes.

What I do now

  • We say things clearly in the call. The day, the task and who does it, out loud.
  • Gemini notes are part of every weekly meeting.

If you’re starting, skim the notes quickly after each call until you trust them. These days, Claude reads them for me.

Try it this week

If your business pays for Google Workspace, check if Gemini is in your plan. Turn on notes in your next meeting, tell the other person, and read what comes out. That’s the whole step.
